How we handle call requests.

This page covers the details you give us when you request a call on this site.

What we collect

  • Your business type, and your own description if you chose Other
  • Whether you have a website, and its address if you gave one
  • The main problem you want fixed, and your description if you chose Something else
  • How enquiries reach you and roughly how many, if you answered those optional questions
  • Your name, email address and mobile number
  • The time of day you prefer for the call

Each request gets a random reference number. We also work out a short internal note on how well the request fits what we do, so we can reply sensibly.

Why we use it

Only to assess your call request and reply to it: to arrange the call, to email you a confirmation, and to prepare for the conversation. We do not use it for marketing, and the form has no marketing sign-up. If we ever offer one, it will be a separate choice you make.

Where it goes

Your request is saved in our enquiry database (Supabase, hosted in Ireland in the EU) before any email is sent, so it is not lost if email is delayed.

Two emails are sent through our email provider, Resend (Ireland, EU): a notification to us with your answers, and a confirmation to you. An email provider accepting a message does not guarantee it reaches an inbox.

The website and form run on Vercel.

Our server logs record the reference number and any technical errors, not your contact details.

Spam protection

To limit automated submissions, we keep a short-lived counter for each network connection. It stores a keyed hash of your network address rather than the address itself, and counters are deleted within a day. A hash like this reduces what we hold; it does not make you anonymous.

Who can see it

Only the owner of NextSyntesys can see your request, through the business inbox that receives the notification and the enquiry database. We do not share it with anyone else.

How long we keep it

We keep your request for 12 months after our last contact with you, then delete it, unless you become a client.

Questions, corrections and deletion

Email hello@nextsyntesys.com with your reference number if you have one. We can tell you what we hold, correct it or delete it.

Under UK data protection law (the UK GDPR and the Data Protection Act 2018) you can ask to see the details we hold about you, have them corrected or deleted, or object to how we use them. If you are unhappy with how we handle your details, you can complain to the Information Commissioner’s Office (ico.org.uk).
